Quotations in a business are always important to control. This aspect of the program ensures that the basic controls are implemented. Quotations can directly linked to contracts when
they are received. Quotation history is immediately available and users can see which quotes are outstanding for follow-up action. An eMail system has been build into the program and quotations can directly
be mailed to customers. Maintaining quotation records gives sales staff and management a very powerful tool to calculate sales information for the company. This quotation format is not designed to take
care of elaborate quotations. These are normally done on a word processor program. The different items quoted must however be recorded in the quotation program to allow accurate history and reporting.
The note field can in this case be used to refer to the actual word processor document. All the information is frozen once a quote is authorised. It is important to change the quote reference number when a quote
is adjusted and authorised a second time. This action not done by the program. It might in some cases be safer to mark the quote as canceled and add a new quote. You can add items and information from
another quote, reference quote, into the active quote or selected quote. All fields not completed at this stage, in the active quote, will be completed the same as the original quote that was used as a
reference. Existing quote items, on the active quote, will be kept and all items from the reference quote will be added to the current quote. |
